We researched the best hotel, negotiated excellent value and managed the contracting process. We pre-planned/managed all arrangements at the hotel, and co-ordinated all other service providers including AV, off-site dinners and overlapping transportation schedules for the two meetings, together with protocol binder production with our local Vienna printer.
We issued “hold-the-date” notifications to sites; we sent invitations/fact sheets and facilitated online registration, liaising with each attendee to provide a personal travel planning service.
We worked closely with Intercept’s CRO and their local CRAs across Europe, keeping them up to date on attendance, and teaming closing with them to ensure optimal attendance with every site represented.
We sent each delegate a personal pre-event confirmation/itinerary, and welcomed them personally in Vienna, providing hospitality desk support during the event.
